UAN KYC means seeding your Aadhaar, PAN and bank account against your Universal Account Number. You add PAN and bank details under Manage > KYC on the EPFO member portal. Since April 2025 a bank account is seeded once the bank verifies it, with no employer approval. Aadhaar corrections go through a Joint Declaration instead.

Key facts

KYC item Where you add it Who approves
Aadhaar (new UAN) Seeded when the UAN is generated by face authentication on UMANG Verified with UIDAI
Aadhaar (older UAN, details match) Employer seeds it through the KYC function on the employer portal No separate EPFO approval
Aadhaar (mismatch or wrong number) Joint Declaration filed by the employer APFC at the EPFO regional office
Bank account Member portal: Manage > KYC Bank/NPCI verification only, since 3 April 2025
PAN Member portal: Manage > KYC Checked against Income Tax records; see the note below

If you are still setting up your account, activate the UAN first. Our guide to UAN activation on UMANG covers that step.

Which KYC details EPFO needs

The Employees’ Provident Funds Scheme, 2026 asks members to give their Aadhaar, PAN, an Aadhaar-seeded bank account and UAN, according to TaxGuru’s reproduction of the scheme. Each detail does a different job:

ItemDetails
Aadhaarties the account to you. EPFO’s FAQ says you can file Form 19, 10C and 31 without employer attestation only if your UAN is activated and your Aadhaar and bank KYC are approved.
Bank accountis where every withdrawal is paid. EPFO stopped asking for a cheque leaf or passbook image with online claims because the account holder’s name is already matched at seeding.
PANdecides the TDS rate if you withdraw early (see below).

For how the fund itself works, including interest and VPF, see our EPF and VPF page.

Adding bank and PAN on the member portal

  1. Log in to the EPFO member portal (unifiedportal-mem.epfindia.gov.in) with your UAN and password.
  2. Open the Manage menu and select KYC.
  3. Tick the document type: Bank or PAN.
  4. For a bank account, enter the account number and IFSC. For PAN, enter the number and your name exactly as on the PAN card.
  5. Click Save and complete the Aadhaar OTP if asked.
  6. Return to Manage > KYC later to see whether the entry has moved from pending to approved.

You can also view your profile and KYC on the UMANG app under EPFO services. Menu labels can change after portal upgrades, so follow the on-screen wording if it differs.

Employer approval: what changed and how long it takes

Bank account

On 3 April 2025 EPFO removed the employer’s approval from bank seeding. Before that, a request matched by the bank still waited for the employer’s digital signature. PIB put the average bank check at 3 days and the employer step at about 13 days, with 14.95 lakh approvals pending with employers. Now the bank or NPCI check alone completes seeding. The same route works if you want to replace an already seeded account: enter the new number and IFSC and authenticate with Aadhaar OTP.

PAN

EPFO has not published a similar change for PAN. Ujjivan Small Finance Bank’s June 2026 explainer says PAN and bank details added on the portal are digitally approved by the employer, while some consultants say PAN now clears on the Income Tax check alone. If your PAN shows pending for more than a couple of weeks, ask your employer’s HR or payroll team to check the pending KYC list on the employer portal.

Aadhaar

An EPFO circular of 13 August 2025 set out the current route for older UANs:

  • If your name, gender and date of birth in the UAN match Aadhaar exactly, your employer seeds Aadhaar through the KYC function on the employer portal. No separate EPFO approval is needed.
  • If any of those three fields differ, the employer files a Joint Declaration (JD) to correct them.
  • If the wrong Aadhaar is linked, the employer enters the correct number in the online JD and forwards it to the regional office. The APFC approves it after checking the case.
  • If the employer is not available or the establishment is closed, you file a physical JD in the Annexure I format, attested by an official listed in para 10.18 of EPFO’s manual, at the regional office’s PRO counter.

Requests to change an Aadhaar that is already verified are not allowed, the circular says.

Name, date of birth and other profile errors

KYC often fails because your EPF profile does not match the document. Since 19 January 2025, members whose UAN is validated through Aadhaar can correct their name, date of birth, gender, nationality, parents’ names, marital status, spouse name and dates of joining and leaving themselves, without uploading documents. Only some UANs obtained before 1 October 2017 still need the employer’s certification, according to PIB. If you had filed a request that is sitting with your employer and you now qualify to self-approve, you can delete it and refile.

PAN missing: effect on TDS

TDS applies when you withdraw more than ₹50,000 with less than 5 years of continuous service. With PAN seeded, the rate is 10%. Without a valid PAN, tax is deducted at 20%. The Finance Act, 2023 removed the older proviso that set the maximum marginal rate for such cases. For payments from 1 April 2026, the Income-tax Act, 2025 covers this in Section 392(7), with the higher no-PAN rate in Section 397(2), according to TDSMAN. An invalid or inoperative PAN counts as no PAN.

If your total income is below the taxable limit, Form 121 replaced Forms 15G and 15H from 1 April 2026, and the declaration is not valid without a PAN. Our EPF withdrawal guide covers the claim itself.

KYC rejected: reasons and fixes

What you see Likely reason What to do
Bank verification failed Name in bank records differs from EPF profile, wrong IFSC, or account closed or dormant Correct the profile or ask the bank to update your name; re-enter the account
PAN not verified Name or date of birth differs from Income Tax records, or PAN is inoperative Fix the profile or link PAN with Aadhaar, then re-add PAN
Aadhaar cannot be seeded Name, gender or date of birth mismatch Self-correct the profile if eligible; otherwise ask the employer for a JD
Pending for weeks Employer has not acted on PAN or JD Follow up with HR; then raise a KYC grievance on EPFiGMS
Employer closed No one to approve Physical JD with attestation at the regional office

Once KYC shows approved, check your UAN passbook to confirm all your member IDs appear before you file a claim.

Frequently asked questions

How do I update KYC in my UAN?

Log in to the EPFO member portal, go to Manage > KYC, choose Bank or PAN, enter the details and save. Aadhaar is seeded through UMANG face authentication or by your employer.

Does my employer need to approve my bank account in UAN?

No. Since 3 April 2025 a bank account is seeded once the bank or NPCI verifies it.

How long does UAN KYC approval take?

PIB puts the average bank verification at 3 days. PAN or Aadhaar requests that need your employer take as long as the employer does.

Can I change my seeded bank account?

Yes. Enter the new account number and IFSC under Manage > KYC and authenticate with Aadhaar OTP.

My company has shut down. How do I fix my Aadhaar in UAN?

File a physical Joint Declaration in the Annexure I format, attested by an authorised official, at the PRO counter of your EPFO regional office.

What happens if PAN is not linked to my UAN?

If you withdraw more than ₹50,000 before 5 years of service, TDS is 20% instead of 10%, and you cannot file Form 121 to avoid TDS.

Can I change an Aadhaar that is already verified in my UAN?

No. EPFO’s August 2025 circular says requests to change an already Aadhaar-verified record should not be allowed.
